Recruitment software for Malaysian SMEs Early access

Write the job once. Get a checked ad for every job board.

HireNow turns a hiring manager's note, in English, BM or both, into ads for JobStreet, LinkedIn, Hiredly, Maukerja and Indeed, and flags wording that job boards remove. Then it runs the rest of the hire, from WhatsApp and walk-in applicants to interview reminders, offers and onboarding.

The problem

One vacancy. Five job boards. A WhatsApp group full of CVs.

  • The same ad, retyped for every board, each with its own rules.
  • A line in the brief that gets the ad taken down, or worse.
  • Candidates spread across a spreadsheet, an inbox and a phone.
  • Interviews nobody turns up to. Offer letters started from scratch.

One brief in. One place for the whole hire.

Try it

See what one brief becomes.

The note above becomes a job pack: one version per board, screening questions for every must-have, and a check on the wording. Apply the suggested fix and watch the copy button unlock.

How it works

From first applicant to first payday, in one place.

The ad is only the start. Every applicant, interview, offer and new starter stays on the same record, so nothing is retyped.

  1. Attract

    Applications from everywhere

Your careers page, CV upload, a WhatsApp message or a QR code at the outlet door all land in one list.

  2. Screen

    Summaries that quote the CV

The AI reads each CV against your must-haves and quotes the line it relied on. Nothing quoted, nothing claimed.

  3. Interview

    Booked, reminded, scored

Candidates pick a slot, get reminders they can confirm with one tap, and interviewers fill one scorecard.

  4. Offer

    Offer letters, checked first

Statutory terms are filled in, the offer goes through your approvers, and the candidate accepts online.

  5. Onboard

    A plan for day one

A checklist starts on acceptance. The new starter uploads documents in their own portal, and HR is warned if they go quiet.

  6. Employ

An employee record that keeps going

Probation dates, leave, letters and the statutory deadlines after a hire, with a payroll export for your payroll software.

Names and figures are examples. Statutory deadlines come from rule tables with effective dates that are awaiting legal review.

Made for Malaysia

Built for how Malaysian SMEs actually hire.

Shop floors, outlets and offices. Candidates on WhatsApp. Paperwork with deadlines.

No-Show Shield

Fewer empty interview chairs.

Candidates get reminders 48 hours, 24 hours and 2 hours before the interview, with a page where they confirm, ask for another time or cancel in one tap.

  • Reminders go by email, SMS or WhatsApp
  • A new time is offered only from slots your interviewers have opened
  • See confirmation and no-show rates by channel and reminder time

By default HR approves each reminder before it goes. Automatic sending is off until the company owner switches it on.

WhatsApp apply

Let candidates apply where they already are.

For shop, kitchen, warehouse and driver roles, a CV is a barrier. A candidate messages your WhatsApp number, answers a few questions and is in your pipeline.

  • Uses your company's own WhatsApp Business number
  • Consent first, then name and your screening questions
  • Replies from HR in the same thread; STOP or BERHENTI opts out

The early-access demo runs WhatsApp and SMS in test mode. Connecting your live WhatsApp Business number is part of setup.

Outlets and walk-ins

Hiring for outlets? Put a QR code on the door.

Each branch gets its own jobs, its own managers and a printable poster. Walk-in applicants scan, fill in a short form on their phone and are done in a minute.

  • Outlet managers see only their outlet's candidates
  • No CV needed; the same person applying twice stays one candidate
  • Compare applicants and hires by outlet

After the hire

Never lose track of the paperwork after a hire.

Accepting an offer and starting a new employee create the follow-up tasks automatically, each with a due date and an owner.

  • Written contract, contract stamping, EPF, SOCSO, EIS, PCB and Form TP3
  • Reminders before each due date
  • Probation reviews and confirmation letters drafted for you

These rules are stored as data with effective dates, so they can change when the law changes. They are awaiting review by a Malaysian employment lawyer.

AI you can check

The AI shows its working. People make the call.

Hiring decisions stay with your team. The AI drafts, summarises and checks, and tells you where every claim came from.

  • Never rejects a candidate or publishes an adThose are always a person's action, and they are recorded.
  • Quotes, not guessesSummaries quote the CV or the interview answer word for word. If it isn't there, it says "not stated".
  • Blind screening when you want itHide name, photo, age, gender and address from reviewers until a stage you choose.
  • Personal details removed before the AI sees textNames, IC numbers, phone numbers and emails are replaced. Sensitive declarations are never sent.
  • Optional match score, never a gatekeeperOff by default. When on, it shows the evidence behind it and is never used by automations or exports.

Questions

Questions SME owners ask first.

What is HireNow?

HireNow is recruitment and HR software for Malaysian small and medium businesses, made by Avantix Innovation Sdn. Bhd. in Penang. It turns one hiring brief into a checked job ad for each job board, then keeps candidates, interviews, offers, onboarding and employee records in one place. It is in early access.

Which job boards does it write ads for?

JobStreet, LinkedIn, Hiredly, Maukerja and Indeed, plus MYFutureJobs for roles that may go to a foreign worker. Each version follows that board's limits, for example at most 5 screening questions on JobStreet and exactly 10 skills on LinkedIn. You copy each ad into the board yourself; posting directly to job boards needs partner agreements that are not in place yet.

Does the AI reject candidates?

No. The AI never rejects a candidate and never publishes a job ad. It drafts, summarises and checks, and people decide. Steps that run on their own, such as sending interview reminders or moving candidates between stages, are off until the company owner switches them on.

What does the compliance check look for?

In job ads it looks for preferences for race, gender, age, religion, marital status, nationality or disability, language requirements with no reason given, pay below the minimum wage, and Maukerja ads that are not in English. Offers are checked for working hours and statutory leave, and interview questions for topics such as marriage plans or pregnancy. Each flag shows the rule, the exact words, a suggested fix and the source. A red flag blocks copying the ad until it is fixed or overridden with a recorded reason. It is a compliance aid, not legal advice, and the rules are waiting for review by a Malaysian employment lawyer.

Can candidates apply on WhatsApp or walk in?

Yes. With your company's own WhatsApp Business number connected, a candidate sends APPLY and the job code, gives consent, answers a few questions and becomes an application without a CV. Each outlet can also print a QR poster for walk-in applicants. In the early-access demo, WhatsApp and SMS run in test mode; connecting your live number is part of setup.

Does it work in Bahasa Malaysia?

Yes. The app screens are available in English and Bahasa Malaysia, briefs can be written in English, BM or a mix of both, and job descriptions can be drafted in both languages. The BM screen text is still being reviewed by native speakers.

How is candidate data protected?

Candidates see a privacy notice and give consent before their CV is processed. Each company's data is kept apart in the database with row-level security, hiring managers see only their own jobs, and reviewers can be shown candidates without names or photos. Names, IC numbers, phone numbers and emails are removed before text is sent to the AI, and sensitive declarations are never sent to it. When live AI is switched on, that text is processed by the model provider outside Malaysia, which the privacy notice discloses. Sign-in supports two-factor authentication and single sign-on.

Is the job ad checker free, and is my ad saved?

Yes, it is free, and no. The checker on this page runs in your browser: your ad is not sent to us or saved anywhere. It looks for common problem words and pay below the minimum wage. It is a quick word check, not the full HireNow check and not legal advice.

How much does HireNow cost?

The first consultation is free. Prices are not published yet: you switch on only the modules you use, and early-access terms are discussed after the consultation.

Is HireNow ready to use today?

It is in early access. The product is built and has been tested on a local demo with sample data and sample AI responses. Live AI, WhatsApp, SMS and email accounts are connected during setup, and production hosting will be confirmed before launch. Book a free consultation to see it and to talk about early access.
