Why do frontline candidates drop out before applying?
For a cashier, kitchen, warehouse or driver role, asking for a CV and a long online form is often the step that loses people. Many candidates apply from a phone, in BM or English, and expect a reply on WhatsApp.
The fix is to ask only what you need to decide whether to invite them: name, phone, the outlet, availability and two or three job questions.
How does applying through WhatsApp work?
- The candidate messages your business number with a short code from the job ad or poster, for example "APPLY CR12".
- They are told what you will do with their details and asked to agree before anything is stored.
- They answer your questions one at a time: name, shifts they can work, and the must-haves for the role.
- They see a summary and confirm. The application lands in your list for that outlet, with the chat attached.
- HR replies in the same WhatsApp thread to invite them to interview.
What rules does WhatsApp set for businesses?
On the WhatsApp Business Platform, you can reply freely for 24 hours after the candidate's last message. Outside that window, you can only send pre-approved template messages. You also need the person's opt-in before messaging them, and you must honour requests to stop.
In practice: reply to applicants quickly, use approved templates for reminders sent later, record consent with the application, and stop messaging anyone who asks you to.
How do you take walk-in applications without paper forms?
Put a poster with a QR code at the outlet door or counter. Scanning opens a short phone form for that outlet's open jobs, so the application is recorded even when the manager is busy.
- One poster per outlet, so you know where each applicant walked in.
- The same person applying twice should stay one candidate, matched by phone or email.
- Outlet managers should see their own outlet's applicants, not every branch's.
How do you reduce interview no-shows?
Remind candidates more than once and make it easy to answer. Reminders at about 48 hours, 24 hours and 2 hours before the interview, each with "I'll be there", "I need another time" and "I can't make it", turn silent no-shows into answers you can act on.
- Send the reminder on the channel they applied through, usually WhatsApp or SMS for frontline roles.
- Offer a new time from slots your interviewers have actually opened, so a reschedule doesn't create more back-and-forth.
- Track who confirmed and who didn't, and look at no-show rates by reminder time and channel to see what works.
- Avoid messaging late at night: set quiet hours.
