What is an applicant tracking system (ATS), and does a Malaysian SME need one?

A plain explanation for owners and HR staff who still hire with job boards, spreadsheets, email and WhatsApp.

Short answer

An applicant tracking system (ATS) is software that keeps every job, applicant, interview and offer in one place, from the job ad to the hire. A Malaysian SME usually needs one when it hires several people a year, posts on more than one job board, or has applications arriving by email, WhatsApp and walk-in at the same time. For Malaysia, look for Bahasa Malaysia support, WhatsApp, PDPA consent records and help with statutory steps after the hire.

What does an applicant tracking system do?

It collects applications into one list, moves each candidate through stages such as screening, interview and offer, keeps notes and messages on the candidate's record, and shows what needs attention next.

Most systems also include a careers page where candidates apply, CV reading, interview scheduling, email templates, offer letters and reports such as time to hire. The word "tracking" is the point: nobody has to remember who was called, who was interviewed, or which version of the CV is the latest.

When does a small business need one?

When hiring has become a juggling act: the same ad typed into several job boards, CVs in three places, interviews arranged by chat, and nobody sure where a candidate stands.

  • You hire more than a handful of people a year, or for several outlets or branches.
  • You post the same vacancy on JobStreet, LinkedIn, Hiredly, Maukerja or Indeed.
  • Applications arrive by email, WhatsApp and walk-in, and some get lost.
  • Hiring managers ask HR for updates instead of seeing them.
  • Candidates don't turn up to interviews and nobody reminded them.
  • You can't easily answer "how many people applied and where did our hires come from?"

What should a Malaysian SME look for in an ATS?

Beyond the basics, check that it works the way Malaysian hiring works: several local job boards, BM and English, WhatsApp, PDPA consent, and the paperwork that follows a hire.

  1. Local job boards: ads formatted for JobStreet, Hiredly, Maukerja and MYFutureJobs, not only LinkedIn and Indeed.
  2. Bahasa Malaysia: screens and candidate messages in BM as well as English.
  3. WhatsApp: many frontline candidates reply on WhatsApp, not email.
  4. Walk-ins and outlets: if you hire for branches, outlet-level jobs and managers.
  5. PDPA: a privacy notice and recorded consent before CVs are processed, and a way to delete old applicants' data.

  • Can I try it with one of my real vacancies?
  • Which job boards can it post to directly, and which do I copy and paste into?
  • Where is candidate data stored, and how is it kept apart from other customers?
  • If the AI ranks or rejects candidates, can I see why, and can I switch it off?
  • What does it cost per month, and what happens to my data if I stop?

What is the difference between an ATS and HR software?

An ATS covers hiring: job ads, applicants, interviews and offers. HR software (an HRIS) covers employees after they join: records, leave, documents and payroll data. Some products, including HireNow, cover both and keep the hire's record when they become an employee.

Is an ATS worth it for a company with fewer than 50 staff?

It depends on how often you hire and from how many places. If you hire a few people a year from one source, a spreadsheet may be enough. If you hire regularly, for several outlets, or from several job boards and WhatsApp, an ATS saves retyping and stops candidates getting lost.

Does an ATS replace JobStreet or other job boards?

No. Job boards bring candidates; an ATS organises them after they apply. Many ATS products post to job boards for you through partner agreements; others, including HireNow today, prepare the ad for each board and you paste it in.

Should an ATS use AI to reject candidates?

Be careful with any system that rejects candidates automatically. Look for AI that shows its evidence, such as quotes from the CV, and leaves the decision to a person. In HireNow the AI never rejects a candidate.
